Part 1: General Terms and Agency Responsibilities

Booking & Advisory Services Terms and Conditions
By providing payment for your booking, you confirm that:

  • Accuracy of Personal Information: All names entered for the booking exactly match the travellers' passports or other required travel identification documents.

  • Compliance with Travel Requirements: Travellers meet all conditions necessary to partake in the travel arrangements, including, but not limited to, possessing valid travel documents (e.g., passports, visas), meeting health and vaccination requirements, and complying with the terms and conditions of the Provider.

  • Review of Terms: You have reviewed and understood all applicable terms and conditions of First to Business Pty Ltd and the relevant Providers, including policies on amendments, cancellations, and refunds.

Failure to meet these conditions may result in denied boarding or travel, cancellation of the booking, or additional charges. Any errors in the details provided are the sole responsibility of the payer, and we accept no liability for losses arising from such errors.

Agency

We act as an agent for Providers, facilitating the purchase of travel products on your behalf. By using our Booking & Advisory Services, you agree to our terms as well as the terms and conditions of the Providers.

It is your responsibility to review and understand the terms and conditions of Providers, including airline fare rules, baggage allowances, and other service limitations, before finalising a booking.

Fees and Commissions

  • Booking Fees: All service fees are non-refundable, even if the travel product is unused. These fees are detailed in the Schedule of Professional Service Fees.

  • Commissions and Incentives: We may receive commissions, rebates, or other financial incentives from Providers for bookings made on your behalf. These incentives are also non-refundable in the event of cancellation.

Part 2: Payments and Amendments

Payment Terms
Payment is due upon invoicing. Prices are quoted in Australian Dollars (AUD) and include GST unless otherwise stated. Prices are dynamic and subject to change until payment is made in full. Airfares are not guaranteed until paid in full and ticketed.

Reservation AirLock or Booking Deposit

  • A non-refundable deposit of $249 per person is required at the time of booking for AirLock Business.

  • A non-refundable deposit of $349 per person is required at the time of booking AirLock First Class.

  • A non-refundable deposit of $400 per person is required at the time of booking for land content.

  • This deposit will be applied to the total booking cost, with the balance due by the specified date.
    Travel Providers have their own policies which would apply. Please refer to their policies.

Making a single payment will constitute payment of both the deposit value and the balance payment. The deposit portion remains non-refundable.

Amendment Fees

  • Changes to bookings will incur a fee of $175 per passenger per Business Class booking.

  • Changes to bookings will incur a fee of $275 per passenger per First Class booking.

  • This fee is in addition to any Provider charges or credit card fees.

Part 3: Cancellation Policies

Cancellation Fees - Domestic and Trans-Tasman Airfares

  • Domestic and Trans-Tasman airfares are non-refundable unless specified otherwise (e.g., a flexible fare is purchased).

  • Service fees are non-refundable for flexible fare bookings.

Cancellation Fees - International Flights

  • Mixed Class Fares: $500 per person

  • Business Class Fares: $600 per person.

  • First Class Fares: $850 per person.

If the airline provides a published cancellation fee waiver, the agency cancellation fee will be reduced to the non-refundable deposit value of $350 per person.

Cancellation Fees - Hotels, Tours, Cruises, Car Hire & Transfers

  • Cancellations will incur an agency fee of 10% of the booking value or the minimum deposit value ($400), whichever is greater.

  • This fee is charged per booking and is in addition to Provider and credit card fees.

Part 4: Additional Service Fees and Conditions

Service Fees (Airfare Bookings)

  • $155 per person for Non Australian Departure ticketing issuance

After-Hours Assistance

  • An after-hours service fee of $110 per person applies for amendments or cancellations made outside regular business hours.

Refunds and Credits

  • Refunds and credits are governed by Provider terms.

  • Refunds will not include our Booking & Advisory fees, credit card fees, or commissions received.

  • Refunds will only be processed once funds are received from the Provider.

Travel Documentation and Visas

It is your responsibility to ensure you have valid travel documents, including passports, visas, and health certifications, for all destinations and transit points.

  • Passports must have a minimum of six months validity beyond your return date.

  • Visas may be required for entry, transit, or stopovers depending on your nationality and destination.

We can provide general guidance, but you are responsible for verifying requirements with the relevant embassy or consulate. Failure to provide correct travel documentation may result in denied boarding or entry, and we accept no liability for losses incurred as a result.


E-Tickets and Documentation

You will receive a booking confirmation upon completion. E-ticket receipts will follow within one business day and can be accessed via the airline’s "Manage Booking" feature. Please verify all details upon receipt and notify us immediately of any discrepancies.

Part 5: Liability and Obligations

Our Responsibility
We provide services in accordance with Australian Consumer Law, ensuring:

  • Services are delivered with due care and skill.

  • Services are fit for the intended purpose.

  • Services are delivered within a reasonable timeframe.

However, we are not liable for:

  • Errors or omissions by Providers.

  • Technical failures or data inaccuracies.

  • Circumstances beyond our control, such as force majeure events, including natural disasters, pandemics, or government restrictions.

Provider Responsibility

The Provider is responsible for delivering the travel product as outlined in their terms and conditions. First to Business is not liable for Provider performance, changes, or cancellations.

Force Majeure

We are not liable for any failure or delay in performance due to circumstances beyond our reasonable control. These include, but are not limited to:

  • Natural disasters or extreme weather events.

  • Government restrictions, political unrest, or acts of war.

  • Pandemics, epidemics, or other health crises.

  • Labour disputes or industrial action.

In such cases, refunds, credits, or re-bookings will be subject to Provider terms and conditions.

Part 6: Name Changes and Travel Insurance

Name Changes
Name changes are strictly not permitted. It is your responsibility to ensure that all booking details, including the spelling of names, match the traveller's passport or other identification documents exactly.

  • If an error occurs, the booking will need to be cancelled and rebooked, which may result in full cancellation charges of up to 100% of the booking cost.

  • Refunds for such cancellations are subject to Provider terms and may take up to 3 months to process.

For this reason, we strongly advise double-checking all details before finalising a booking.

Travel Insurance
It is the client’s sole responsibility to secure adequate travel insurance. This insurance should cover unforeseen events such as:

  • Cancellations.

  • Medical emergencies.

  • Delays.

  • Lost baggage.

We do not accept liability for any losses incurred due to the absence or inadequacy of travel insurance.

Part 7: Changes in Price and Fraudulent Bookings

Changes in Price and Itineraries
If a Provider changes your booking due to circumstances beyond their control, we will notify you and provide alternatives where possible.

  • If changes increase the cost of your booking, you may cancel, subject to the Provider’s refund and cancellation terms.

Fraudulent Bookings
We reserve the right to cancel bookings suspected of fraudulent activity. Refunds in such cases are at our discretion, minus any incurred fees.

Part 8: Payment and Communication Policies

Credit & Debit Card Fees
Card payments are subject to the following surcharges:

  • Visa/Mastercard: 1.75%

  • American Express: 3.5%

  • International Cards: 3.3% (approval required).

All fees include GST and are non-refundable.

Electronic Communications
By providing your email, you consent to receive booking confirmations, updates, and invoices electronically. These communications are legally binding.

Part 9: Jurisdiction and Privacy

Jurisdiction Clause
These terms and conditions are governed by the laws of Queensland, Australia. Disputes must be resolved in the courts of Queensland.


Part 10: Provision of Contact Details and Communication Agreement

By providing your contact details, including email address and phone number, during the booking process or through other interactions with First to Business, you acknowledge and agree that these details will be used to confirm and manage your bookings. Additionally, you consent to receive tailored travel suggestions, promotional offers, and updates based on your indicated preferences and past interactions.

We respect your privacy, and you may opt out of receiving promotional communications at any time by using the unsubscribe link provided in our emails or by contacting us directly. This will not affect communications related to active bookings, such as confirmations, itinerary updates, or critical travel information.

First to Business adheres to all relevant data protection regulations to ensure your personal information is handled securely and responsibly. For more details, please refer to our Privacy Policy.

10.1 Privacy Policy
Your personal information is collected, stored, and used in compliance with Australian privacy laws.

  • This includes using your data to facilitate bookings and enhance service delivery.

  • We may share your details with Providers and partners as necessary to fulfil your travel arrangements.
